With Digital Signatures, your employees can review and sign their time cards after a pay period ends.

Enable Digital Signatures

  1. From your Main Menu, go to Company Settings
  2. Select the "Time Keeping" tab
  3. Select "Change" next to Time Card Approval
  4. Select the Enable Digital Signature box
  5. (Optional) Lock Time Card on Approval
  6. Review "Time Card Disclaimer" box
  7. Select "Save"

Note: Enabling "Lock Time Card on Approval" will lock a time card from edits after it’s signed. Once a time entry has been signed & locked, the only way to make edits to those time cards is if you have the ability to Manage Lock Dates.
**The "Time Card Disclaimer" box, allows you to set up a custom disclaimer based on your company needs. “I acknowledge I worked said hours” is the default disclaimer. It's what your team will see when signing their time cards.


Signing Your Time Card

  1. From your Main Menu, go to Dashboard
  2. Select "Time Cards"
  3. Select blue "Sign" button next to pay period that you'd like to sign 
  4. Review your time card is correct and select "Click here to sign" at the bottom of the page
  5. Sign your name with your cursor/trackpad/mousepad
  6. Select "Accept"

Note: You cannot sign a time card for a pay period that hasn't ended yet. Once a pay period ends, our system will automatically generate the time cards for approval and be available for your team to sign.
**Your team will get a notification sent to their devices and will see a red dot in their time card section, indicating that a time card is ready to be signed.


Editing Signed Time Entries
(This feature is permission based)

  1. Open a time entry and select "Edit Time Entry"
  2. You will get a message saying user will need to resign entry again if edits are made. 
  3. Select "OK"
  4. Make your changes to this entry and select "Save"
  5. User will get an automatic notification asking them to resign due to time card being edited.

Note: You should be able to edit signed time cards if they haven't been locked. If you get a message saying the time entry cannot be edited due to it being locked, click here to learn how to Manage Lock Dates.


Viewing Employee Signatures

(Available if you enable “Digital Signature” in Company Settings.)

  1. From your Main Menu, select Reports
  2. Select the "Time Card Approval" report under Time Cards
  3. Select what pay period you'd like to view
  4. Select each employee to view their time cards with their signature

This report shows you who has signed vs who hasn't, the date the time card was signed under "Status" and what the "Lock Date" is for each employee (if "Lock Dates" were turned on in Company Settings)

  3. Select Digital Signatures
  4. Select the toggle switch to turn on
  5. (Optional) Lock Time Card on Approval
  6. Select what pay period you'd like to begin signing on
  7. Select "Done"

  4. Use the "<" and ">" to view different pay periods
  5. You will see a blue header with the words "Ready to sign below" on a time card that is ready
  6. Sign with you finger/stylus and press "Accept"
